In addition to the Caravan and Motorhome Club’s Centres Privacy Notice, the Midland Centre processes additional personal data as outlined below:

Email Marketing System

We operate a self-hosted email marketing system integrated with our website. This system processes the following personal data:

  • Name
  • Email address
  • IP address
  • Activity logs (e.g., email opens, link clicks)

This data is provided by the Caravan and Motorhome Club when a member joins the Midland Centre and is used solely to inform members about Centre events, updates, and activities.

Online Booking System (CognitoForms)

To facilitate bookings for weekend rallies, holiday rallies, or temporary holiday sites, personal data is collected via CognitoForms, including:

  • Name
  • Address
  • Contact details
  • Membership number
  • Vehicle details (where necessary)

In certain instances—such as events held at commercial venues—relevant personal details (e.g., name and address) may be shared with the site operators solely for the purpose of managing your booking.

In addition, the Midland Centre retains anonymised data for internal record-keeping and event planning purposes. This includes the number of bookings per event location, the date and time of each event, and the event name. This data contains no personally identifiable information and is retained permanently for statistical and historical reference.

Embedded Content from Other Websites

Articles on our website may include embedded content (e.g., videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor had visited the originating website directly.

Data Retention Policy

  • Email Marketing Data: Retained for the duration of your Midland Centre membership. Upon cessation of membership, data is deleted within 12 months unless you have explicitly opted to continue receiving communications.
  • Booking Data: Retained for up to 6 years following the associated event to meet legal, financial, and insurance obligations.
  • Anonymised Booking Statistics: Retained indefinitely for use in historical reference and planning future Centre activities. This data does not include any personal identifiers.
  • Third-Party Data Transfers: When personal data is shared with third-party commercial sites for event management purposes, we ensure such partners are contractually bound to handle your data in compliance with relevant data protection laws and only retain it as long as necessary for the specific purpose.

We regularly review the personal data we retain and ensure appropriate deletion or anonymisation where data is no longer required.
